JOB TITLE: Warehouse Staffer (Open until filled)

Salary:  $15.00/hr. Paid Bi-Weekly
Status:  Permanent Part Time
Type:  20 hours weekly: Monday (Noon – 7pm), Thursdays (10am – 2pm) Saturdays (11am – 2pm) extra hours are flexible.

 

GENERAL STATEMENT OF DUTIES:
Under the direction of the Operations Manager the Warehouse staff assist in the operations of the Hospitality House Food Pantry warehouse and pantry shopping space. Responsible for product inventory, stocking shelves and freezers, unloading vehicles, receipt of deliveries, assists with facility upkeep and cleanliness and utilizes the agency vehicle to pick up food as directed. Warehouse staffers work closely with and under the direction of the Operations Manager to realize and enhance the organization's vision and mission.

Assists the Operations Manager with buildings and grounds maintenance, which entails daily and weekly cleaning schedules waste reduction improvements and safety inspection, and annual food and building inventory audits

Works with the Operations manager to establish strategic plans, policies and procedures and then carry them out relative to the objectives of the Food Pantry.

JOB FUNCTIONS:

 
OPERATIONS

  1. Pick up as directed weekly food bank orders, including churches, schools, area events, local merchants, such as Costco, Starbucks etc. as requested and able.
  2. Maintain a safe and clean warehouse
  3. Arrange for the repacking of food donations
  4. Stock shelves and load coolers and freezers
  5. Assist as needed with ground and or facility upkeep
  6. Maintains warehouse stocking levels
  7. Maintain shelves in the pantry and the warehouse
  8. Unload food deliveries from vehicles
  9. Sort and weigh all deliveries
  10. Document donations and weight of food in pantry logs
  11. Maintain a working relationship with clients, volunteers, and staff.
  12. Assist with annual warehouse and building inventory
  13. Maintain & clean all coolers and freezers
  14. Adheres to Servsafe guidelines and pest management controls
  15. Assist with other HHFP events

JOB TITLE: Operations Manager (Open until filled)

Salary: $20,800 annually
Status: Exempt Permanent Part-time
Type:  (20 Hours weekly) Mondays, Tuesdays, Thursdays and Saturdays Hours on site must match days the pantry is open.

GENERAL STATEMENT OF DUTIES:

Under the direction of the Executive Director the Operations Manager manages and supervises all product acquisition and handling, oversees the upkeep of the physical plant, major equipment, and vehicles of the Hospitality House Food Pantry. In addition the ideal person will be able to coordinate volunteers and be adept at engaging the community via social media and the utilization of on-line newsletter and e-mail platforms.

Specifically responsible for product inventory, deliveries, product and facility supply ordering, trains volunteers and staff on those operations regarding the facility and food distribution, assists with community outreach, and monitors day to day program operations in the absence of the Executive Director.

Oversees the repair, replacement and or refurbishment of all non-IT facility equipment and supplies. Oversees buildings and grounds maintenance, daily and weekly cleaning schedules as well as determining and scheduling repairs, renovation projects, pest control, waste reduction improvements and safety inspections. Assists with the recruitment, supervision and coordination of food distribution volunteers and warehouse staff and volunteers.

Possess and demonstrate a track record of managing warehouse deliveries, completing follow-up reports. Strategically plan and able to analyze projected needs to understand what actions should be taken for the future. Works with the Executive Director to establish strategic plans, policies and procedures and then carry them out relative to the objectives of the Food Pantry. The Operations Manager works closely with and under the direction of the Executive Director to realize and enhance the organization's vision and mission.

JOB FUNCTIONS:

GENEARL OPERATIONS AND STAFF MANAGEMENT
1. Complete an annual inventory of product and property.
2. Supervise warehouse staff to assure compliance with HHFP policies and guidelines.
3. Maintain, review and coordinate calendar of events between Executive Director
4. Provide monthly reports and paperwork to various contractors (OHLSA, Retailers)
5. Supply administrative support to the front desk as needed.

 

OUTREACH AND COMMUNITY ENGAGEMENT
1. Assist as needed with external HHFP events such as Santa Shop, and or Memorial Day Parade
2. Cultivate and maintain a working relationship with Gleaners, Forgotten Harvest, OLHSA and other food source providers.
3. Assist with social media coordination and posting, direct-mail production and e-newsletter production and dispersment.

VOLUNTEER MANAGEMENT
1. Recruit and train volunteer staff on equipment, policies, and procedures relevant to the warehouse, pantry and office.
2. Schedule volunteer activities to support pantry operations
3. Maintain volunteer database

PRODUCT MANAGEMENT
1. Arrange pickups of weekly food bank orders, including churches, schools, area events, local merchants, such as Costco, Starbucks etc.
2. Maintain a stocking inventory for the pantry
3. Create and update warehouse procedures for the handling of food
4. Document pounds received and pounds out
5. Order food supplies to maintain pantry stock
6. Certify in ServeSafe and Civil Rights Training as required

 

FACILITY MANAGEMENT
1. Maintain a safe and clean building. (Pantry, Warehouse, Kitchen, Lobby, Restrooms, etc.)
2. Maintain daily cleaning logs
3. Schedule and arrange maintenance on agency vehicles.
4. Order facility supplies and equipment to provide for the custodial needs and upkeep of pantry equipment
5. Maintain temperature logs
6. Maintain physical asset inventory logs

 

EDUCATION & EXPERIENCE:

2 years of college, or experience in a similar field is preferred. 2-5 years of experience in a similar capacity. Demonstrated experience with food and quality control.

KNOWLEDGE, SKILLS & ABILITIES:
o Knowledge of the operations of non-profit organizations
o Communication, marketing and organizational skills
o General business related computer skills, including the ability to learn and use inventory data management programs.
o Adept with social media and online mail platforms
o Excellent management and organizational skills – ability to prepare written reports on a timely basis
o Ability to effectively cultivate positive relationships with all stakeholders: volunteers, staff, board members, donors, the business community and the general public.
o Ability to supervise, inspire, and motivate staff and relate to volunteers and clients, showing respect for diversity.
o Ability to plan, research and act
o Ability to work long and flexible hours
o Ability to multi-task and adapt to a changing work environment
